Overview
Guest Management (GM) is a user-friendly web UI portal that can be accessed by navigating to ‘HOTSPOT USERS > Guest Management, for non-administrator to quickly create accounts (or access vouchers), which are required for authenticating to HSG/HSA/UA captive portal before guests are granted Internet access.
NOTE
Guest Management is only available when using mbox HSG or cloud UAM.
GM is widely used for :
- Hotel/Hostels front-officers to create accounts/vouchers upon their check-in.
- Shopping Center Information counter to issue WiFi access voucher for visitors
- Office Receptionist to issue temp Internet accounts for visitor or temp staff
- F&B Outlets to offer controlled WiFi access to genuine customers only.
The accounts/vouchers can be printed by a voucher printer (a thermal printer, similar to a POS printer), and can easily issue to guests/visitors for chargeable services. Hotels/Hostels can tag to room bills or collect payment upon issuance of printed vouchers.
Front Desk Tab
Upon clicking the Guest Management (GM) or by clicking on the ‘Front Desk‘ tab, the user can see the GM dashboard.

The ‘Access Profiles‘ section in the ‘Front Desk’ tab defines the authorization for each created user account (or access voucher). There can be a combination of multiple enforcement/profiles for the same account. The options can be customized in the ‘Access Profile‘ tab.
The ‘PIN Code Authentication’ enables the operator to key in user information to tag to each generated account. The options can be customized in “Userinfo” tab. User can generate a Pincode for a guest once all required information is entered. A random pic code or custom entered pic code can be generated. However, it is configurable by the administrator to dedicate certain user info to be the pin code.

NOTE
The operator can either create Pin Code or Guest Info based authentication using the Guest Management.
The created account for guest information can be either:
‘Displayed‘ – When there’s no voucher printer, the user can select this option, and the generated account will be displayed on the screen and also can be viewed on the ‘HOTSPOT USERS>User Management > Local User‘ tab.
‘Printed‘ – This is only available if the user has purchased a voucher printer (a thermal printer)
‘Emailed‘ – The generated voucher can be Emailed. (The email domain need to be pre-configured in ‘ADMIN > General > Application Settings‘, (
‘Exported‘ – User can also export the bulk details to CSV format
The historically created accounts can be viewed by clicking on the ‘Accounts Created‘ bar at the bottom of the ‘Front Desk’ tab as shown in Image 2 above.
Customization Tab
This tab defines general settings to change the guest voucher page.

The fields of Customization section are summarized below:

04. | User Type | This option defines how the user wants to authenticate users. If we choose “userinfo“, it means we’re going to authenticate users based on username & password. If we choose “Pincode“, the portal just requires Pincode as the passcode to login |
05. | Max Username Length | This needs to be inline with the UsernameType, we need to put the MaxUsernameLength to be more than the default 8 characters, or don’t check on Active. |
06. | Username Type | If the user chooses “userinfo” for UserType, it means mbox requires a username & password to log in. |

Access Profile Tab
Access profile defines guest access rights after they are authenticated to mbox HSG/HSA/UA.
Access profiles have to be pre-created by an administrator under the RADIUS tab “Management” –> “Profile”. GM will automatically map to the profiles defined in RADIUS, and make the profiles available for selection to enforce user/guest access. NOTE: if you’re using a legacy mbox and trying to use the latest GMC feature, you may need to do a fresh update of your RADIUS (Please refer to this guide to do so).
Click on the check box to determine if any of the profile should be visible on the main GM menu. The Access profile has few options available. These are configurable (by admin) to turn on the profile information.

The fields of Access Profile section are summarized below:

User Info Tab
This tab captures user information to map to each guest account. The available fields are Name, Email, Mobile, NRIC/Passport, Room No, etc.
The tab is configurable to activate & display only the desirable fields, depending on the business requirements.
